This position is a hybrid position located in American Fork, UT.

Job Summary
This role provides administrative support to Senior Management and is responsible for administrative functions including (but not limited to) answering incoming calls, scheduling and preparation of meetings, scheduling of domestic and international travel, maintenance of calendar, sorting and prioritization of e-mail.

What You Will Do

  • Performs administrative functions including phone/e-mail monitoring and prioritization, supply ordering; filing/organizing, etc.
  • Facilitates both domestic and international travel arrangements, prepares itineraries, and processes travel expense reports
  • Maintains a calendar and arranges multi-party meetings, both in person and video calls
  • Prepares, organizes and generates reports as needed
  • Interacts with Executive Management Committee and other Executive Assistants
  • Composes correspondence and prepares letters, memoranda, reports and spreadsheets
  • Prepares presentations, agendas and related materials, copying, collating and set-up
  • Notes commitments made by executives during meetings and arranges for staff implementation
  • Participates in special projects and performs other duties as required
  • Work with the Administrative team to prepare and execute company events as needed
  • Prioritizes tasks and projects based on urgency and importance, ensuring deadlines are met
  • Follows up on action items and commitments made, tracking progress and providing regular updates
  • In addition to the essential duties and responsibilities listed above, all positions are also responsible for:
    • Meeting company standards pertaining to quantity and quality of work performed on an ongoing basis, performing all work-related tasks in a manner that is in compliance with all Company policies and procedures including Worldwide Business Standards
    • Adhering to Company policies, procedures, and directives regarding standards of workplace behavior in completing job duties and assignments
    • Handle sensitive information with the utmost confidentiality and discretion
    • Maintains a high level of professionalism and integrity in all interactions and communications

Travel/Physical Demands
  • Travel typically less than 10%
  • Office environment with no special physical demands required

Qualifications

What You Will Have
  • 6+ years of experience as an executive or administrative assistant to senior or executive level management/leadership
  • Must be fluent in Microsoft Suite
  • Demonstrates a commitment to delivering work that is both prompt and precise
  • Interpersonal skills and ability to communicate effectively with others at all levels of the Company with professionalism
  • Excellent organization skills and demonstrated ability to multi-task
  • Detail-oriented and consistently ensures timely follow-up on all tasks
  • Ability to work independently with little or no supervision or guidance
  • Excellent judgment and problem-solving abilities
  • Ability to utilize discretion and maintain confidentiality
  • Flexibility to take care of needed urgent items outside of office hours, if needed
